Executive Administrator Job Description

We are looking for a dynamic Executive Office Assistant/Project Coordinator who possesses skills and experience in administration, interpersonal communication, and project management.
The ideal candidate must have a keen eye for detail, ability to manage multiple projects at a time, superb organizational skills, and experience wit
h and/or willing to learn church software and manage database
 

Works in Conjunction With: Lead Administrator and Church Staff 

Duties and Responsibilities

  • Manage Pastors’ Schedules: Schedule meetings, book speaking engagements, book and manage travel 
  • Schedules, coordinates, researches, and organizes meetings/appointments for the Pastors, prioritizing the most urgent and critical matters, and working with them to effectively allocate their time daily and weekly.  
  • Provides administrative support for the day-to-day operations of the Church 
  • Assists in the preparations of the department’s budget: processes invoices, maintains the office’s purchasing cards; prepares payments and orders; submits reimbursements; and processes purchase requisitions. 
  • Screens all incoming calls and emails, inquiries, visitors, and correspondence, and routes them accordingly 
  • Assist Pastors with church management operations as it relates to events and church software/database 
  • Assist in drafting standard operating procedures and policies 
  • Maintain integrity of church management database to minimize clerical and data errors 
  • Assist with event planning for church ministries/teams and community events 
  • Provide clerical assistance with document creation, templates, reporting, and storage 
  • Other office and administrative tasks as assigned by Executive Leadership 

Knowledge, Skills, and Abilities 

  • It is preferable that a candidate has a working knowledge of church operations and church software or other customer oriented software 
  • Sound judgment and ability to maintain confidentiality  
  • Dependability/accessibility 
  • Comfortable with accessing and utilizing multiple types of software applications  
  • Excellent administrative skills 
  • Critical thinking and problem-solving skills 
  • Customer Service focus 
  • Excellent knowledge of Microsoft Word, Excel, PowerPoint, Internet applications, Office 365 
  • Excellent communication and organizational skills 
  • Knowledge of Planning Center and/or other church planning software is preferred  
  • Must feel comfortable and have the ability to learn and use customer oriented software

  • Available to attend service on a weekly basis
  • Complete Membership/Supersession classes 
  • Baptized as a follower of Christ 
  • Regard the Bible as God’s final authority in all areas of Christian life and desire to be wholly obedient to it 
  • Wholeheartedly affirm LTWC’s Statement of Faith, including our view on baptism 
  • Live a lifestyle consistent with scriptural principles, including LTWC giving through tithes and offerings
